5-Gmail-TricksIs your email out of control? Are you one of the many people who avoid opening it because you’re afraid to deal with the enormous mess it has become? You’re not alone, but it doesn’t have to be this way. Your email should be working for you, not against you. So, I’d like to share some great tricks that I’ve found that Gmail offers to make your life simpler.

1-Organize Your Inbox

If you don’t like the new way Google has set up your inbox, did you know you can change it? Although this setup can be helpful in some cases, it isn’t necessarily what you need. I prefer  to set up my inbox into three sections: starred, flagged and unread. This way, I have everything that I have marked as important in plain view and all of my incoming and unread messages are there below, right at my fingertips.  Here is a quick video showing how to customize your inbox.

2-Setting up filters that fit…these do not pass up your inbox

Once you’ve got your inbox set up appropriately, your next task is to set up filters. This will take a few minutes and may seem a bit daunting at first, but once they are done, you will never have to worry about a messy inbox again. Filters will let you flag important messages for the future, save your mail into a special folder, forward directly to another email address, select that they never end up in your spam folder, or bypass your inbox automatically. Here is a quick and easy way to set up a filter. 

3-Adding in other email accounts-multiples

Like many people, you may have multiple email addresses and if you do, you probably get tired of having to log into each individual account just to check them. Wouldn’t it be so much easier if they all came to one place? Well, they can! From your settings tab, select “accounts”. Here, you can “add another email address you own”.  Just click the link and it will guide you through the steps to verify that you own that email and then it will be added to your accounts. You can add as many emails as you want. This will enable you to send and receive all of your emails from all of your addresses in one place. You can go between them and send from whichever you choose.

4-Setting Up Canned Responses

The labs section “is a testing ground for experimental features that aren’t quite ready for primetime” that Google is working on.  One of these that I have found very useful is “Canned Responses”.  For those of you who use a similar email repeatedly, like a job search cover letter, or a response email to a client, etc., canned responses save these emails for you so that you do not have to re-write them over and over again. As one of Google’s engineers describes it, “If you’re sick of typing out the same reply every time someone emails you with a common question.”, or you may have to send a specific email out regularly to your team.  Here is a how to create a canned response http://www.wikihow.com/Use-Canned-Responses-in-Gmail

5- GText from MightyText – SMS from Gmail™.

Are you tired of looking back and forth from your email screen to your cell phone while texting and checking your email? This add-on allows you to send and receive text messages straight through your email, instead of worrying about constantly checking back with your phone. Your text messages will pop up on your email screen, similar to the way a “chat” or “IM” does, and you can type your texts back straight from your computer. And don’t worry; these messages still go to your phone too!
